The data extraction tool allows automation of analysis and retrieval of information from an image with AI 🤖 in TimeTonic, including your expense reports, reading business cards, or optimizing data processing to improve your team's productivity.

ℹ️ Pre-create columns of type: Single, Text Line, Multi-Line Text, SmartText to store the responses generated by AI.
➡️ Steps to configure extraction:
1️⃣ Describe the role of the AI
In our example, the role is:
"You are an OCR expert system that extracts information from expense reports."
2️⃣ Give the AI a command
In our example, the command is:
"From the attached expense report, extract as much info in JSON format as possible with the following properties: (be sure to review and compare your results with the original image to avoid errors):
Description: Provide a two-word name for the expense report based on its content.
Details: Summarize the expense report context in five words, e.g., "Lunch with potential client discussing project."
Total: Provide the amount in euros, e.g., "45.50."
Date & Time: Provide the date and time in the format 01-01-2024 10:05.
Category: Specify "Meal" or "Other."
3️⃣ Attach the image.
4️⃣ Choose the response format

Select JSON with destination fields
5️⃣ Map JSON to its destination fields
- Write the property names to extract in JSON format from the image in the fields "JSON Property Name".
- Then insert the dynamic value character "$" or use the selector ⌄ to map to the "destination fields" in your table.
🚀 After configuring all fields, validate the settings and test an extraction to ensure the data is analyzed and stored correctly.
⚠️ Property names must match exactly (uppercase, emoji, syntax, etc.) to avoid mismatches across the prompt, JSON property field, and destination field.

🔗 Upload your image for extraction
1️⃣ Save your file
2️⃣ Refresh your table to view the extracted data in your fields.
