The Workspaces tab is the heart of the TimeTonic mobile app. You browse your workspaces, open your tables, view your records, and create new ones. At every level, what you see depends on the rights and configuration set on the web.
What you see is set on the web. The workspaces, tables, views, and fields accessible on
mobile match the rights granted to you and the configuration done by administrators on the web.
The workspace list
The tab shows all the workspaces you are invited to. They are organized into two groups.
Favorites
Your favorite workspaces, set on the web, grouped at the top for quick access.
Others
All the other workspaces you have access to.
At the top of the page, three controls help you find your way:
List or card display
The display icon, to the right of a group, switches between a list view and a card view.
Search
The magnifier lets you find a workspace by name. A QR code scan is also offered.
Settings
The gear icon gives access to your profile and to the app settings.
Enter a workspace: the tables
Tap a workspace to open it. You then access the tables you are allowed to see. Only the tables whose visibility is granted to you on the web appear.
At the top of the workspace, a messaging icon, a search magnifier, and a menu give you access to the conversations, the workspace settings, and the list of its members. The back arrow returns you to the list of tables.
Open a table: the records
Tap a table to display its records. Each record appears as a card that summarizes its main fields. The card shows up to five fields and a thumbnail on the right, depending on the configuration set on the web.
The thumbnail on the right of the card reflects the content of an attachment field: image, PDF, QR code, or document, depending on the field type. The fields shown on the card and the thumbnail are chosen on the web: see Customize a record card at the end of this article.
Switch views, filter, and search
Three controls let you adapt the record display to your needs.
The view selector
At the top of the table, the selector shows the active view. Tap it to choose another view among those configured on the web for this table.
The first time you open a table on mobile, the first view created is shown. After that, the app reopens the last view you consulted on mobile.
Whatever view you choose, the display on mobile stays the record list, from which you open a record. The web view types Kanban, Gantt, or pivot table are not reproduced on mobile.
A view can be filtered on the web to show only certain data: for example, a view set on your User ID shows only the records assigned to you.
The filter
The filter icon, at the top of the table, opens the Filter rows screen. There you select a field, choose a condition, validate the filter, then save to apply it.
The filters you set on mobile are personal: they refine your display without changing the view configured on the web or other users' display. You can stack several conditions and combine them with And or Or. When a filter is active, the filter icon appears colored.
On mobile, you can filter records, but sorting stays defined on the web.
Search
The magnifier, at the top of the table, lets you search for a specific record in the active view. A QR code scan is also offered to find a record.
Open a record: groups and fields
Tap a record to open its card. It presents all the fields, organized into groups that you can open or collapse.
The groups
Fields are arranged in thematic groups. Tap a group title to open or collapse it. This organization
reflects the table setup done on the web by the administrator.
The fields
Each field displays according to its type: text, date, select list, checkbox or toggle, calculated
amount, link, comment, document, or address to share.
Synchronization
Each entry and each change is saved automatically in real time, with no Save button. An indicator at
the bottom of the record confirms the status: synchronized, or synchronizing.

Offline mode. The app also works without a connection. Your entries and
changes are kept on your phone, then synchronized automatically as soon as the
connection returns, to push the data back to the web.
Some fields require a specific configuration on the web to display correctly on mobile. This is notably the case for link fields: what is selectable in a link field depends on a view configured on the web, and the list stays empty on mobile if no view is set. The details are covered in the section for administrators.
Create a record
From a table's record list, the plus button opens a blank record.

The button is at the bottom right of the record list. A blank record opens.

Fill in the fields
Complete the fields group by group, according to their type.

Save
Your record is added to the table and synchronized with the web.
Duplicate or delete a record
From the record list, two actions are possible:

Duplicate
Swipe the card to the right to reveal the duplicate action, then tap it to create a copy of the record.
Delete
Swipe the card to the left to reveal the delete action, then tap it to delete the record. Deletion is
immediate and irreversible from mobile.
Workspace settings
From the workspace menu, the workspace settings screen gathers the settings specific to this workspace: its appearance, its description, NFC, its notifications, and its shortcuts.

Appearance
At the top of the screen, the workspace avatar and a color selector personalize its visual identity.
The workspace name and its email address are shown just below.
Description
The Description field shows the text associated with the workspace.
NFC
The Retrieve serial number only option limits NFC reading to the tag's serial number alone.
Workspace notifications
The Notifications section groups toggles that apply only to this workspace.
Receive this workspace's notifications on mobile
Enables receiving this workspace's notifications on your phone.
Show this workspace's notifications
Displays this workspace's notifications on screen.
Confidential: hide message content
Hides the content of messages in notifications.
Receive a copy of messages by email
Sends a copy of messages to your email address.
Receive a copy of messages by SMS
Sends a copy of messages by SMS.
Quick actions
The Quick actions section lists the views that can serve as a shortcut. Each toggle enables or disables a view as a shortcut.
This section depends on a web configuration. Quick actions appear only if
shortcut JSON configurations have been set on the web for this workspace's views. Without a
web configuration, the section stays empty.
You can enable up to four shortcuts. If you enable more, the app offers to replace an existing shortcut.

Workspace members
From the workspace menu, the workspace members screen shows everyone who has access to this workspace.
Each member is presented with their avatar, name, identifier (starting with @), and a badge showing their role in the workspace.
Owner
The owner of the workspace. This is a unique role that cannot be assigned to another member.
Administrator
Manages the workspace and its members.
User
Accesses the workspace according to the rights granted on the web: full access or limited rights.
Read only
Views the workspace data without being able to edit it.
Roles and rights are managed on the web: on mobile, this screen lets you view the list of members and their role.
