The Company Account workspace allows you to easily manage the rights of each user across all workspaces in your organization. This centralized view saves you from having to enter each workspace individually to modify permissions.
When one of your users creates a workspace, the account on which the Company Account was configured instantly becomes the owner. You therefore have a global view of all workspaces of all your users.
Ownership transfer cannot currently be managed from the Company Account.
Two methods are available to manage user rights. The method using pivot tables is preferred for its simplicity and overall visibility.
Contents
Method 1: via tables
This method allows you to modify user rights one user at a time, row by row, directly in the Rights table.
The Rights table references each user/workspace pair and gathers all necessary information:
| Column | Description |
|---|---|
| User | The user concerned. |
| Book | The workspace concerned. |
| Right level | User's rights level on the workspace: Owner, Admin, User, Limited, Read-only. |
| Messages | Permission to access the workspace messaging. |
| Web | Permission to access the workspace via Web or Web + Mobile. |
Example
In this example, lucas2 is the owner of the workspace admin.lucas2. Being the owner, his rights cannot be modified.
The user jean is a User on the same workspace. He has access to the messaging area and accesses the workspace only via the mobile app. His rights can be modified directly from the table:
After modification, jean becomes a user with Limited rights, loses access to messaging, and gains Web and Mobile access to the workspace admin.lucas2.
Method 2: via pivot tables (Pivots)
To manage a large number of users and workspaces, pivot tables offer a matrix view with users in rows and workspaces in columns. This view allows you to quickly edit multiple rights and get an overview of all permissions at a glance.
Searching for a user or a workspace in a pivot table is done using column and row filters. Be sure to use them to isolate what you want to modify.
Filter the user list
- Search for the identifier of the user you want to manage
- Uncheck Select All
- Check the users to display in the pivot table
Filter the workspace list
- Search for the workspace you want to manage
- Uncheck Select All
- Check the workspaces to display in the pivot table
Managing rights levels
The pivot table Users' Right Level (Pivot) allows you to modify the rights level of each user on each workspace.
Users appear in rows and workspaces in columns. The right modified in this table is applied directly to the concerned workspace.
Example
In this example, jbinoche is the owner of the workspace deplacement.jbinoche, and ahitchcock has read-only access. You can assign any right to ahitchcock on this workspace, except the Owner level which remains reserved for the owner.
Managing chat access
The pivot table Users' Messages Right (Pivot) lets you define whether each user can see the chat of each workspace.
The chat will appear or not in the concerned workspace depending on the permission granted.
Example
In this example, jbinoche sees the chat in the workspace comptesociete.jbinoche, while ahitchcock does not have access. You can give him chat access simply by changing his right in the table.
Managing Web and Mobile access
The pivot table Users' Web Right (Pivot) lets you define the access channel of each user to each workspace: mobile only, or Web and Mobile.
Example
In this example, jbinoche accesses the workspace comptesociete.jbinoche from both Web and Mobile, while ahitchcock accesses it only from Mobile. You can modify this option to give him Web and Mobile access.
