Extern form

The external form in TimeTonic allows external people to modify records.

By configuring different options, from field restrictions to aesthetic settings.

Here are the steps to use this feature:

1️⃣ Insert a new column: external form

⚙️ Configuration Window

1️⃣ Button name

• ☑️ Check the box "transform into button" to make the external form URL clickable in the column field.
• 2️⃣ "button background color" field opens for personalized application, which will be visible in the form view.

3️⃣ Field Restrictions by View
Allows applying a particular view to restrict visible fields in the external modification form.

4️⃣ Form Title
Give a title to the external form to personalize it.

5️⃣ Description
Give a description to the external form to personalize it.

6️⃣ End word
Add a final message to your external form to personalize it. The message will appear when clicking the save button.

7️⃣ Logo: Add a logo to the external form to personalize it with your colors.

• ☑️ Check the box "use a column as the logo source" (allows for a different logo for each row), and make the selection. 
• Upload a logo image from your files.

8️⃣ Cover: Add a cover to the external form to personalize it with your colors.

• ☑️ Check the box "use a column as the cover source" (allows for a different cover for each row), and make the selection. 
• Upload a cover image from your files.

9️⃣ Redirection URL: Instead of adding a final message, TimeTonic allows redirecting the user to a URL after saving their entry.

• ☑️ Check the box "use a column as the redirection source" (allows for different redirection for each row), and make the selection. 
• Directly insert the desired URL in the "Redirection URL" field.

🔟 One-Time Token
Use this option if you want your external forms to be single-use.

Each time you click "save", the external form URL resets.

The old URL will be invalid. You’ll need to communicate the new URL if you want to allow another edit by your clients, partners, or others.

1️⃣1️⃣  Invisible Captcha Protection
Protect yourself from bots by enabling the invisible captcha.

1️⃣2️⃣ Add authentication: the recipient will need to input their TimeTonic ID and password to access the form. (then you will be able to know who create this line in the update field)

1️⃣3️⃣ Save Button Label
Allows changing the text on the form’s save button.

 1️⃣4️⃣ Reset button label : Allows you to change the text on the form's reset button.

1️⃣5️⃣ Grouping Mode
If your table contains groups, you can use them in your forms.
There are two grouping modes:

• By Group: Displays groups as expandable vertical accordions.
• Step by Step: Displays groups as distinct steps of the form.
  By choosing a grouping mode, you access a list of available groups that you can order as desired.

✒️ Comparison of "grouped" or "step by step" choices:

• ℹ️ The color applied to the groups is the one defined in your workspace, chosen in the workspace settings, which can be modified based on your permissions.
• ℹ️ Organizing the group order in the configuration does not impact the order in the record view.
